Your records, kept straight
The owner's brief for the first version was one sentence: make it hard for cash, carts, licenses or paperwork to go missing without a trail.
A record that shows any change
Each line in the record carries a fingerprint of the line before it. Edit an old line and every line after it stops matching, so a quiet change shows up straight away.
- Mistakes are fixed with a new line, never by editing the old one
- Each tablet keeps its own copy, so one device cannot rewrite the day
- The dashboard checks the record and says so if anything has changed
- 109:58 Cart 019 rented, $75.00 cash
- 210:21 Cart 041 rented, keys held
- 310:29 Correction: Cart 038, not 041. Line 2 stays as it was.
- 410:40 Drawer counted, $1,240.00
Sample data. Change line 2 and every line after it stops matching.
Who can do what
Every person signs in as themselves. Nobody shares a login.
Roles
Owners, managers and staff, plus custom roles. Each screen and each action checks the role first.
Two-step sign-in
The office console supports a second step at sign-in. Repeated wrong passwords lock the account for a while.
Manager PINs
Voids, overrides and drawer closes need a manager PIN at the gate.
A security log
Sign-ins, role changes, refunds and exports are logged. That log shows any change too.
Sensitive data, kept small
Hitchpost holds as little as the job needs.
Card numbers
Never touch Hitchpost or your tablets. The customer taps on the reader, and the card company handles the rest.
Licenses
By default only the result of the check is stored: expired or not, old enough or not.
Locations
A route is saved only while a unit is rented, and deleted after 30 days.
Keys to other services
Keys for your card processor, CRM or text service are stored encrypted and never shown again.
AI that asks first
AI is off until you connect it.
Read only by default
An AI key can read reports and the live board. It cannot change anything unless you give it more.
No more than its maker
A key never has more access than the person who made it, today or later.
Private details hidden
Customer phone numbers and emails are hidden from AI unless the key is allowed to export data.
Every call logged
Each question an AI asks Hitchpost goes in the log, with the key that asked it.
Questions people ask
Can a manager delete a rental?
No one can delete or edit a saved rental. A manager can void one, and the void is added as a new entry with their name and the reason.
What happens if a tablet is lost?
Every tablet holds a full copy of the record, so nothing is lost with it. Sign the tablet out from the office and it can no longer sync.
Where is the data kept?
On your own server, with a backup every night that checks itself. Each rental company has its own server and database.
